ZipBook Privacy Policy
Platform role. ZipBook is a technology platform operated by On2AI Systems. ZipBook provides software infrastructure, hosting, booking tools, calendar synchronization, payment integration support, and related software services. ZipBook does not own, operate, manage, inspect, or guarantee any property listed on a client subdomain.
1. Scope
This Privacy Policy explains how ZipBook handles information collected through the main domain zipbook.org, ZipBook dashboards, onboarding forms, support channels, and hosted client subdomains such as clientname.zipbook.org.
2. Information We Collect
- Client account and onboarding data: name, business name, email, phone, address, tax identifiers where provided, property details, listing URLs, subdomain choices, pricing settings, calendar links, and payment configuration details.
- Guest booking data: guest name, email, phone, stay dates, number of guests, booking notes, payment reference or UTR details, booking status, transaction records, and communication needed to process reservations.
- Listing content: property title, description, photos, amenities, pricing, availability, house rules, reviews, host information, and public booking content provided by clients or imported during setup.
- Technical data: IP address, browser type, device data, log data, pages viewed, timestamps, cookies, security events, and usage analytics needed to operate and secure the service.
- Support and communications: messages, emails, OTP confirmations, digital acknowledgements, and related support records.
3. How We Use Information
- To create, host, maintain, and improve ZipBook websites, dashboards, booking forms, and client subdomains.
- To process booking requests, display availability, synchronize calendars, prevent double bookings, and help clients manage reservations.
- To support payment integration workflows and record payment references submitted by guests or clients.
- To verify account access, send OTPs, deliver service emails, provide support, prevent fraud, and secure the platform.
- To comply with legal, tax, accounting, security, dispute-resolution, and regulatory obligations.
- To improve search visibility and discoverability of public client sites through metadata, sitemaps, tags, and structured content.
4. Client and Guest Responsibility
Clients remain solely responsible for accommodation services, guest safety, tourism compliance, taxes, GST, staffing, refunds, cancellations, disputes, insurance, legal obligations, and the accuracy of listing content. Guests interact with the relevant property client for the stay itself. ZipBook acts as a technology provider and intermediary software platform only.
5. Payments
Clients remain the sole merchant of record for bookings and payments. ZipBook may provide payment integration support or collect payment reference details to help clients verify transactions. ZipBook does not guarantee payment completion, refund eligibility, chargeback outcomes, guest identity, or booking authenticity.
6. Sharing of Information
- With the relevant client, host, or authorized property team to manage bookings and guest communication.
- With service providers that support hosting, databases, email delivery, storage, analytics, payment workflows, security, and support.
- With authorities, advisors, payment providers, or dispute-resolution bodies when required by law, investigation, fraud prevention, compliance, or legal claims.
- With successor entities if the business, platform, or assets are reorganized, merged, transferred, or sold.
ZipBook does not sell guest or client personal information as a standalone data product.
7. Cookies and Analytics
ZipBook may use cookies, local storage, log files, and analytics tools to keep users signed in, secure accounts, understand site performance, improve booking conversion, remember preferences, and detect abuse. Browser settings may allow users to disable cookies, but some features may stop working properly.
8. Data Retention and Backups
Information may be retained for as long as needed for platform operations, accounting, fraud prevention, legal compliance, dispute handling, support, and backup integrity. Clients are solely responsible for maintaining independent backups of operational and booking data, as stated in the ZipBook Client Agreement.
9. Security
ZipBook uses reasonable technical and organizational safeguards to protect information. However, internet services, cloud systems, and communication networks cannot be guaranteed to be error-free or completely secure. Services are provided on an "as is" and "as available" basis.
10. User Rights and Requests
Depending on applicable law, users may request access, correction, deletion, restriction, or portability of personal information. Requests can be sent to [email protected]. ZipBook may need to verify identity and may retain information where required for legal, security, accounting, dispute, or operational reasons.
11. Children's Data
ZipBook is not intended for use by children as account holders. Guests or clients should not submit children's personal information unless it is necessary for a lawful booking or accommodation process and they have authority to provide it.
12. International Access
ZipBook is operated from India and may use service providers or infrastructure in other locations. By using ZipBook, users understand that information may be processed where ZipBook or its service providers operate.
13. Changes to this Policy
ZipBook may update this Privacy Policy from time to time. Continued use of the platform after publication of an updated policy constitutes acceptance of the updated policy.
